Maity Innovations Private Limited ("Maity Innovations", "we", "us", or "our") operates the Enterprise Resource Planning (ERP) platform available at https://erp.maityinnovations.com/ (the "Service" or "MIBS").

This Privacy Policy explains how we collect, use, store, protect, and disclose information when you access or use our ERP platform and its integrated services, including Google Workspace APIs.

By using the Service, you acknowledge and agree to the practices described in this Privacy Policy.

1.Information We Collect

1.1 Account and Identity Information

When you create or access an account on the Service, we may collect:

  • Full Name
  • Work email address
  • Phone number
  • Employee ID and designation
  • Department, organization, and role
  • Profile photo (if provided or synced via SSO)
  • Authentication tokens and credentials

1.2 Business and ERP Operational Data

Depending on the modules enabled by your organization, the ERP processes:

  • Employee records, attendance, and leave requests
  • Payroll data, salary structures, and payslips
  • Task, project, and timesheet tracking records
  • Client, vendor, and business contact records
  • Business documents, receipts, and internal communications
  • System logs and audit trails

1.3 Technical and Diagnostic Data

We may automatically collect technical diagnostics, including IP addresses, browser types, operating systems, device identifiers, session timestamps, and error logs for security and performance.

2.How We Use Information

We use collected information solely to:

  1. Provide, operate, and maintain the ERP platform.
  2. Authenticate users and manage organization roles and permissions.
  3. Process payroll, attendance, leaves, tasks, and business operations.
  4. Dispatch transactional emails, status notifications, and payslips.
  5. Maintain data integrity, security, and audit logging.
  6. Troubleshoot technical issues and deliver customer support.
  7. Comply with applicable legal and statutory requirements.

We do not sell, rent, or trade personal or business information to third parties.

3.Google Account, Gmail API & Google Services Disclosure

The Service offers optional integrations with Google Workspace APIs (including Google Sign-In and the Gmail API) to enable Single Sign-On and synchronized workplace communication.

3.1 Specific Google OAuth Permissions (Scopes) Requested

We request only the minimum required scopes necessary to provide ERP functionality:

openid, userinfo.email, userinfo.profile

Used exclusively to authenticate user identity, enable Single Sign-On (SSO), and populate basic user profile details.

Allows authorized users to view and associate relevant business communications and messages with ERP projects and support records.

https://www.googleapis.com/auth/gmail.send

Enables users to send transactional notifications, salary slip emails, leave approval notifications, and project updates directly from their authorized account.

Allows the ERP to create and apply organizational labels (e.g. "ERP/Payroll", "ERP/Leaves") in the user's mailbox for structured communication management.

Google API Limited Use Policy Disclosure

Maity Innovations ERP's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

AI/ML Model Training Disclosure for Google Workspace APIs

We do not use Google Workspace data (including Gmail message bodies, attachments, headers, metadata, or user info) to develop, improve, or train generalized or non-personalized artificial intelligence (AI) and/or machine learning (ML) models.

3.2 Google Data Protection & Restrictions

  • No Third-Party Sharing or Selling: We do not sell, rent, transfer, or distribute Google user data to any third party or data broker.
  • No Advertising: Google user data is never used for serving advertisements, retargeting, or profiling.
  • AES-256-GCM Encryption: All OAuth access tokens and refresh tokens are encrypted at rest using AES-256-GCM.
  • User Revocation: Users can revoke Google permissions at any time via the ERP dashboard under "My Profile > Gmail Settings" or through Google Account Permissions.

4.Data Security & Storage

We implement comprehensive technical and organizational safeguards to protect personal and business data:

  • End-to-end TLS 1.3 encryption in transit for all web and API traffic.
  • AES-256 encryption at rest for sensitive credentials and OAuth tokens.
  • Role-Based Access Control (RBAC) preventing unauthorized internal access.
  • Secure, audited database hosting with automated encrypted backups.
  • Continuous security monitoring and access logging.

5.Data Retention & Deletion

We retain user data for the duration of the organization's active subscription or as long as necessary to provide the Service and comply with statutory legal obligations.

When a user disconnects an OAuth account or requests deletion, all corresponding OAuth tokens and cached metadata are permanently purged from our databases.

6.User Rights & Data Control

You have full rights over your data, including the right to:

  • Access, export, and review your personal and ERP records.
  • Rectify inaccurate or incomplete information.
  • Disconnect third-party integrations (such as Google Workspace) at any time.
  • Request complete account deletion and data removal.
